Build your routine

Let a routine job run on time

Start with one reminder or repeatable process, then check its first run.

Choose a task or a workflow

A task starts work at a time or when something happens. A workflow describes a sequence of steps. Open Workflow: the Tasks tab is for scheduled or event-based jobs; the workflows view is for multi-step processes.

Describe one complete job

  1. Choose New task or New workflow. These entry points open a conversation to help create the work.
  2. Specify when it runs, who or what it applies to, what it does, and where the result goes.
  3. Ask for it to start paused or as a draft while you review it.
  4. Inspect the saved task or workflow and confirm its actual status before enabling or publishing it.
TRY ASKING
Prepare a daily reminder for our reception team at 5 pm local business time to review tomorrow’s unconfirmed bookings. Use the bookings sheet. Keep it paused and show me the audience, message, channel and next run time before enabling it.

Check the details that matter

CheckWhat to look for
Time zoneUse Asia/Hong_Kong for Hong Kong or Europe/London for the UK; check the displayed next run time.
AudienceUse the intended people or a small test group first.
ChannelThe correct connected account and assistant, if used.
ActionExactly what will be sent or changed.
StatusA paused task will not run on its schedule. A draft workflow is not the published version.

Check the first run, not just the switch

Open the task’s recent runs or the workflow’s run history. Read the outcome: completed, partial, failed or skipped. Check an actual delivered message or changed record too. If the task auto-pauses after repeated failures, fix the cause before resuming.
